The Wolf Bay Group Property Management System is composed of four main computer modules, namely; Reservations, Owner Statements, Accounts Payable and General Ledger.
The Reservation System handles all aspects
of guest accounting, such as taking reservations, printing confirmations,
recording deposits, invoicing guests and keeping a guest history of all
guests who have booked on the system. The system prepares numerous
management reports, such as check-in lists, cleaning lists, occupancy
reports, reservation boards, etc. Various options provide for additional
charges, such as golf outings, dining charges, mountain trips, etc.
The Owner Statement System handles all aspects
of accounting to the owners of rented property. This includes a monthly
Owner Statement, a Property Financial Statement showing income and expenses
and a Guest Rental Report for the owner. At year end the Owner Statement
System will provide 1099's. A special set-up option converts the system
to a special timeshare format, for those users who may need a timeshare
version. The timeshare version is complete with lock-out codes, week numbers
and user definable owner types, such as blue, gold, etc.
The Accounts Payable System handles all
aspects of writing
checks from the Owners Trust Account. These checks include
expenses for repair, electricity, phone, garbage pick-up, etc.
Checks can be written directly to the vender that provides the
service to the Owner's Unit, such as a cleaning service, repair or
utility. When entering expenses to the Owners Account, those
expenses are automatically posted to the Owner Statement System
described above and thus appear on the Owners Statement as an
expense. The Accounts Payable System also writes the monthly
settlement checks to the Owners. Rental Commission Checks can be
prepared at any time.
The General Ledger System prepares a
complete Financial Statement for the rental company. That Financial
Statement can include other aspects of your business, such as Real
Estate sales commissions, golf outing income, etc. The General Ledger
System comes complete with a chart of accounts and a basic Financial
Statement set-up. The chart of accounts and Financial Statement can be
easily changed to meet your existing requirements.
Property Maintenance System allows reservation clerks, property
managers, or maintenance managers to enter, dispatch and bill property
work orders. Maintenance work orders are maintatined on the system and
allow users to view a complete work history on any unit managed.
