Owner Statement File Maintenance



Step 1) Run the corrections program (in the OSS Manager's menu), password is ERASE. Run this for option 1, erase only entries for property 0. This will clear out any old invalid data that may exist.
 
Step 2) Then run File Maintenance (in OSS Managaer's Menu), password is ERASE. The program will then attempt to resolve balance forwards for each owner. Normally you will enter a date such as 20041231. Some companies that have odd year-end cutoff dates might use a different date.

Step 3) If a unit sold during the year, the file maintenance program will stop and tell you that it has detected that property such and such has multiple owners. It will say something like, "property 25 indicates multiple owners 25 and 42" This normally means that during the year property 25 sold to a new owner 42. File maintenance did not run because this created a conflict that you must resolve. If the program does NOT give you such a message, file maintenance completed and you are done. Go to step 4.

If you get this message, you must go back into the corrections program and erase the old property / owner data for the old property that sold. In the corrections program, use option 2 and the program will ask you to indicate the property number and then the owner number of the data you wish to erase. You are erasing the old property owner combination that sold.

The program will then erase that old combination and you will no longer get that old statement for that old owner. So, when running the Corrections program, you would select option 2. You would enter property 25 and then you would enter old owner 25. When this completes, go back to step 3 and attempt to run File Maintenance again. File Maintenance will continue to stop until all the conflicts are resolved.

Step 4) Once file maintenance completes without stopping you have completed the OSS annual file maintenance task. If you changed any settings in set-up, you might want to change those back. For instance, set-up page 1 number 6 should be a 0. You might also set Page 1 number 13 to a zero and run a set of statements.
